ALL BORROWERS

- Summer borrowers are not included in the college licensing agreement and therefore cannot borrow licensed software
- Media needed for scheduled and supported film screenings may not be available for individual viewing prior to the screening, on the day of the event.
Reserves
Reserves materials have either a 2-hour, 4-hour, 1-, 3-, or 7-day loan period. Priority is given to students and faculty. Hourly reserves may not leave the library. Available to guest borrowers by exception only.
NExpress
Available only to students, faculty, and staff & spouse/partners. Loan period is 28 days; 2 renewals possible
Interlibrary Loan
Available only to students, faculty, and staff & spouse/partners. Loan period is determined by the lending library.
Midd ID needed to check out books
Using your Middlebury ID or guest borrower library card is the only way to guarantee that we are accessing the correct record. The ID is the best way to do that. Also, this ensures that errors are not made while typing in names or ID numbers.
Number of items that can be checked out
If you are a student, faculty, or staff, the limit is set high to facilitate borrowing. However, there is a limit of 3 reserve items at one time. If you are a guest borrower or alumni, there is a 25 item limit. VCAL borrowers have a limit of 10 items.
Renewal Periods
Renewal (and loan) periods are based on demand and inventory, and set as high as possible while still ensuring access for all borrowers to a shared collection. As always, contact Circulation staff to request longer loans or more renewals on library materials needed for your research. Remember to renew before things go overdue.
Returning library materials when library is closed
Most library materials may be returned by using one of our library book drops.
Please return all oversize, reserve, media, and equipment loans directly to the Circulation Desk of the branch library you borrowed it from.

In the wall on your left as you enter the first set of doors. Open all hours. Need Middlebury College access card to enter when the Main Library is closed.

On your right as you face the back side of the library. Easy drive up access. Open all hours.

Lost or Damaged Library Materials
Borrowers are responsible for the replacement and/or repair of any library materials checked out on their library accounts.
Borrowers are responsible for payment of charges assessed for damaged, lost or stolen materials.
LIS makes every effort to maintain the collections and it is the responsibility of the borrower to alert Circulation Services to any existing damage or problems with library materials at the time of discovery.
Default system replacement values are determined by the type of item - book, media, equipment, etc. - and are based on the estimated cost of replacing the item, and on publisher and manufacturer availability of models/editions.
Requests to pay exact replacement costs instead of default values are considered on a case by case basis.
Requests to purchase a replacement item in lieu of paying a replacement charge is considered on a case by case basis, and LIS reserves the right of final approval.
LIS reserves the right to determine replacement costs and collection acquisition decisions. LIS cannot accept used replacement items in lieu of payment.
Repair charges are determined on a case by case basis after careful evaluation by LIS staff. LIS reserves the right to make the final decision regarding the repair or replacement of a damaged item. LIS reserves the right to retain damaged materials. Payment of replacement or repair charges does not constitute purchase of the library owned material.
Replacement charges (bills) are incurred when materials are not returned in a timely manner, based on loan periods. Charges remain on borrower accounts until resolved. Unresolved, outstanding charges are removed from the borrower's library account and are transferred to the College bill.
It is the responsibility of the borrower to contact the Circulation Services Manager to request a refund, if the lost material is found/returned by the borrower.
Replacement charges may block library borrowing privileges.
The immediate return of billed items (if still on the library account) will clear the replacement charge. It is the responsibility of the borrower, when returning a billed item, to speak with staff at the circulation desk to verify that the charges have been cleared from the library account.
Library accounts may be cleared at any time by paying the replacement charge at any of the branch libraries on campus. We encourage the use of credit card payments. Please save your receipt!
A refund may be requested by contacting Library Circulation. The payment receipt is required. Refunds cannot be guaranteed if the item has been lost or missing for more than a year. The payment must be verified before issuing a refund. A receipt is not required for items that have been transferred to the college bill.
Guest borrowers are liable for overdue charges of $ .20 per day, and a fixed overdue charge of $ 25 will be added to the replacement cost of lost or damaged library materials.

Computer Labs
View the list of computers and multi-media viewing equipment in the library. Or, you can also type go/findapc or go/findamac into the address bar of your browser while on campus.
Photo Copiers
There are 3 black and white photocopiers located in the Main Library one on each floor, consult the library maps to find the "Print/Copy" areas. There is one color photocopier in Library 142. There is a color photocopier available in Armstrong Library in Bicentennial Hall.
Outgoing Fax Machine
There is a fax machine available at the Info Desk in the Main Library. The instructions are posted next to the machine. Students and Summer Faculty may send from this fax machine free of charge. Faculty and Staff are encouraged to use their departmental fax machines.
Students may receive faxes in the McCullough mail room (802-443-2068), faxes are placed in the appropriate mailbox.
Responsible Library Use Policy
Middlebury College Libraries are committed to maintaining collections that exist as common resources to be shared, preserved and respected in a manner guaranteeing protection for future users. The ethical use of library materials involves acceptance of this principle and appropriate conduct regarding library collections.
Inappropriate use includes, but is not limited to:
- Writing upon, defacing, tearing, cutting, mutilating, or destroying books or other library property in the custody of the Library. Willful concealment of a book or other library property on one's person or among one's belongings while attempting to leave, or leaving the premises of the Library without formal borrowing through the Circulation Desk. The willful concealment of a book or other Library property within the Library. The willful removal of a book or other Library property in contravention to Library regulations. The intentional alteration or destruction of library ownership records. The willful retention of library materials beyond their stated loan periods.
Violators my be prosecuted under Title 22, Section 111, Vermont Statutes Annotated and fined up to $500 for each single offense.
Food and beverages must be covered and kept in spill-proof containers. Smoking or the use of tobacco is not permitted in any Middlebury College library.
Borrowing Notices
The library uses email as the preferred method of communication. We send out various notices to you, the user, to inform you of the status of your library materials. Below is a list of the notices with a brief explanation of each.
Courtesy Notice
This notice is sent before your materials are due to remind you to either return them or renew them.
Overdue Notice
This notice is sent once your library materials have become overdue. Once you get this notice, you can no longer renew the materials online. If you need the materials longer, please contact Circulation staff.
Recall Notice
This notice is sent when another library user or Library Reserves has requested a title that you have checked out. This item will not be renewable and will be given a new due date. Please return recalled titles as soon as possible.
Hold Pickup Notice
This notice is sent when a library item that you have requested is now available for you to pick up. This notice will indicate where you can pick up the item and you will have seven days to do so. Please contact Circulation staff if you need an item held longer.
Hold Cancelation Notice
This notice is sent once we have been holding your item for seven days. We will no longer hold this item for you.
Bill Notice
This notice is sent once your library materials have been overdue for more than 28 days (shorter for recalls, reserves, special loans, etc.) The bill amount is the replacement cost for the item. The notice indicates that this amount is now due on your library account. If you return the item, the charge will be cleared. (Overdue charges may still apply for guest borrowers)
Statement of Charges
This notice is sent to alert you to any outstanding charges on your library account. Unresolved charges may be transferred to your college bill.

Also, try these steps:
- Check the listing in MIDCAT to make sure the item is listed as "available" status.
- Make sure you're looking in the correct library: Armstrong (McCardell Bicentennial Hall), Main Library, Music Library (CFA).
- Check the "Location" of the item, it might be part of a specific collection: Reference, Arabic, Chinese, Japanese, Oversize, Vermont Collection, Reserves, Media, Government Documents, Mini-scores, or Special Collections. Each of these collections is housed together in separate areas in each Library, not with regular books on the shelves.
- Check the Library Map to make sure you're looking in the right place.
If the book is checked out
If the item you need for your research is checked out to another borrower, please search and request through the NExpress catalog. Ordering an item from NExpress will be faster than recalling a Middlebury item. You may also request from Interlibrary Loan.
If the item you need is checked out and is not available through NExpress or Interlibrary Loan, please contact Circulation Services to request a recall or a hold.
Don't need it sooner than the due date? Place a web request and it will be held for you when it is returned. Web hold requests may be placed through the online catalog or by logging in to the My MIDCAT page. Web requests will not shorten the due date, or recall the item form the current borrower. We recommend NExpress if a Midd owned item is checked out.
Need it sooner than the due date listed? Please contact Circulation Services to request a recall. Recalled materials are due back 7 days from the date of recall.
Faculty, staff and students may also submit a purchase request.
Recall, hold, ILL and NExpress services cannot be extended to guest borrowers.
Once an item has been marked missing in MIDCAT, you may order it via NExpress or ILL.

Request a booking or reservation
Materials that may be booked will display a "PLACE RESERVATION" button in MIDCAT. This includes loaner equipment and media materials that are needed for class screenings. Contact library_circulation@middlebury.edu to request a booking OR try web self-booking. Reservations and bookings can be viewed/confirmed in My MIDCAT.
How to place a web/self booking
- Search and locate item in MIDCAT
- Click on "PLACE RESERVATION" button (located above item information in the Catalog)
- Sign in (self-booking requires authentication)
- Select location. For example, there may be an item at both the Main and Science libraries. Please select the item at the location where you would like to pick up the item.
- Select start date and time
- If there is more than one item available for booking, you will be presented with a list of available items. Select the item you want to book.
- Select end time and date
- Items on Reserve may be booked for a maximum of 4 hours.
- Booking periods are tied to loan periods. If you need an item booked for longer than is allowed, please contact us via email.
- Include any special instructions in the "Note" field.
- Click on "SUBMIT" button
NExpress
With a NExpress request you are able to order items unowned and currently unavailable Middlebury items. Items ordered from NExpress should arrive in 3-4 days. You will also be able to renew your NExpress materials twice, a service currently unavailable for traditional ILL material. Failed NExpress loan requests will need to be ordered in ILLiad manually.
NExpress Article requests will be delivered to a central web location and can be accessed via My MidCat. Failed article requests will be automatically routed to ILLiad for Interlibrary Loan processing.
What is NExpress?
NExpress is a consortium of libraries in New England: Bates College, Bowdoin College, Colby College, Middlebury College, Northeastern University, Wellesley College, and Williams College. Vassar participates for article requests only.
Our libraries have created a combined catalog of our collections. Authorized users may borrow other member libraries' materials by requesting them online in the NExpress Catalog and have them delivered to Middlebury for pickup. You may also use your Middlebury ID to check out items directly from any of the NExpress Libraries.
How to Request a Loan from NExpress
From your Midcat search results, clicking on the NExpress icon repeats your Midcat search in the NExpress multi-library catalog.
When you locate an item you would like to borrow:
- Click on the "Request this item" link.
- Identify yourself as a Middlebury patron in the dropdown menu.
- Enter your name and ID number.
- Click the "Submit" button.
- Watch for the notice indicating that your request has been submitted successfully.
- Check the status of your request at anytime using My MidCat. go/mymidcat
While items available at Middlebury cannot be ordered in NExpress, placing a NExpress request for missing or checked out books can be very effective. An item ordered through NExpress will often arrive before a recalled Middlebury book.
Loan requests unfilled by NExpress will be cancelled automatically. If you still need the material and can wait for ILL delivery, you must create a new Interlibrary Loan request for the item in ILLiad.
How to Request an Article from NExpress
Once you have selected an article from Middlebury's various article databases look for the ILL links. Here are some common examples:
- In the FirstSearch Databases: "External Resources:
Midd full-text, print, or ILL"
- In Academic OneFile: "Link to Full Text outside this Database"
- In Historical Abstracts: "Resource: Link to Full Text"
- In Web of Science:
Clicking on any of these links will open up a page containing various methods to access the item. The links will depend on the type of material and where it can be located. Check Midcat first or any full text options, then NExpress and finally ILLiad. To place the request in NExpress, click on the NExpress Logo.
"Request a copy using " This will automate the NExpress catalog search.
Submitting the NExpress Article request
- Identify yourself as a Middlebury patron in the dropdown menu.
- Enter you name and ID number.
- Click "Submit"
- Review the article information automatically pulled in from the database or index. Make changes and add comments as needed.
- Click "Submit"
- Watch for the notice indicating that your request has been submitted successfully.
- Check the status of your request at anytime using My MidCat.
You can also complete a blank NExpress Article Request form by searching for the Journal title in NExpress, and then clicking on "Request Article." Follow steps as above, and then add the rest of the article information from your citation manually. If the journal title is not found in the NExpress catalog, you must submit a traditional ILL request via ILLiad instead. Since any item currently available at Middlebury cannot be ordered via NExpress, off-campus patrons must also use ILLiad.
Book chapters from on-line Databases, such as MLA, will fail to open in an Article Request form in NExpress because NExpress does not process requests for book chapters. These requests must also be submitted in ILLiad or the entire book ordered via NExpress.
Remember to search all journal requests in Print & E-Journals A-Z or in Midcat to check Middlebury availability before placing NExpress or ILL requests.

Interlibrary Loan
How to submit an Interlibrary Loan request in ILLiad
There are two ways to submit ILL requests in ILLiad, automatically via an on-line database or index, where the ILLiad form is automatically populated with the citation information, or directly in ILLiad, if you already have a citation, and can fill out the form manually.
1. Automatically using a Middlebury Databases or indexes
- Search for your topic in the appropriate database or index. In the detailed view of the item you are interested in receiving look for the ILL links.
- Clicking on any of these links will open up a page containing various methods to access the item. The links will depend on the type of material and where it can be located. Check Midcat and NExpress first. Only if the item is not available at Middlebury or through NExpress, should you submit an ILL request.* *(Except if you are an off-campus patron.)
- If you have determined that ILLiad is the appropriate option, click on the
link to open ILLiad.
- Logon to ILLiad using your Middlebury username and password.
- If you have not previously registered an account in ILLiad you will be directed to a new registration form. You will only have to complete this form once, but you can always edit your personal information in ILLiad by clicking on 'Edit User Information' in the Tools menu to update your status or contact info. Complete the form by clicking
at the bottom of the page. (You may need to click on the request for ILLiad link again at this point to open up the automated form.)
- If you have not previously registered an account in ILLiad you will be directed to a new registration form. You will only have to complete this form once, but you can always edit your personal information in ILLiad by clicking on 'Edit User Information' in the Tools menu to update your status or contact info. Complete the form by clicking
- Review the information in the form, add an OCLC number to expedite the request, and any additional notes we need to know.
- Click the
button to submit the ILL request.
- Note the ILLiad Tracking Number for your reference.
2. Manually from within ILLiad
- Search Midcat or the Journals A-Z list to ensure Middlebury does not own the item you want.
- Logon to ILLiad.
- Select appropriate form from the New Request menu to the left.
- Fill out the request form. Include all information required. Red stars indicate required fields.
- Provide an ISSN/ISBN or an OCLC number for fast and accurate service.
- Click the
button.
- Note the ILLiad Tracking Number for your reference.
Check the status of your ILL Request
- To see your current requests in ILLiad, log on to your ILLiad account: http://ill.middlebury.edu/illiad/logon.htm. Search for your request in the search box, select "All Requests" from the view menu, or locate your request in "Outstanding Request" list on the main ILLiad page. Click on the Transaction number of the request to open up the detailed information page. Scroll down to tracking to see the current status of your request.
- To see requests that have already arrived, there are two sections in the "View" menu
- Electronically Received Articles (for articles)
- Checked Out Items (for loans)
- Electronically Received Articles (for articles)
In "Electronically Recevived Articles" you will find a list of the current items delivered to the web will appear. By clicking on the ILL request transaction number (TN:) your ILL request should open in Adobe Acrobat Reader. (Your computer must have a version of this free software in order to view your request.) From Adobe Acrobat you can read print, or save the article to your computer.
"Checked Out to Customer": The ILL has been received and is available at Circulation, or has been picked up. We check out all ILL items when delivering them to the Circulation Hold Shelf for patron pickup. Don't worry this does not mean another patron has picked up your ILL.
Information for Off-Campus Patrons
Any student currently enrolled in Middlebury College has access to a large and effective resource in the Interlibrary Loan (ILL) Department. Students may place requests through ILL for both loaned (usually Books) and photocopied (Articles) materials
To begin using our Interlibrary Loan Database, called ILLiad (which maintains your personal information, and the information about requests placed in your name), you must first be a registered and enrolled student of Middlebury College. Once you have enrolled at Middlebury, you will be given a College ID number; this number is necessary for ILLiad registration. We reserve the right to review your current status, and to cancel requests at any time placed by ineligible patrons.
- To register in ILLiad, go to the LIS Find Books, Articles, and More page. Look for the ILLiad - Interlibrary Loan link in the Need Help section at the top of the page. Follow This link to our ILLiad registration page. Click on: First Time Users if you are new to ILL and have not requested ILL items from Middlebury College in the past. Read the directions and information about ILL and fill in the form, choosing a username and password.
- Once you have an ILLiad account you may place requests immediately, using the ILLiad on-line forms or while you are using any of the FirstSearch Databases. Using the FirstSearch Databases, such as MLA, or Worldcat to search and place requests is highly encouraged, and can be done from within any FirstSearch item record via the following link: "External Resources:

This link leads directly to an ILLiad logon and generates a completed ILL request form for you to review and submit. Please fill-in OCLC numbers from Worldcat whenever possible, and always include a note on each request reminding us of your location.
When submitting requests, it is very important to include a message of your current status/location, such as: "I am OFF CAMPUS and would like my requests to be delivered electronically." This makes it possible for us to identify requests that might otherwise be cancelled (because they are locally available), and to process these requests for you here at Middlebury.
- At any time, if something is accidentally cancelled, you can re-activate it and send it back to us with a note from ILLiad. Here's what to do: In ILLiad, select the "Cancelled Requests" from the "View" menu on the left to bring up a list of your cancelled requests. Click on the TN you want to resubmit. This will bring up the detailed information of the request. Just click on the "Resubmit Request" button, make any changes or add any new notes, then "Submit Request" to send it back to us.
Resubmitting a request, rather than creating a new request, is advised because the request’s history is kept in our system and helps in future processing of the request.
It is important to update your contact information in ILLiad if your location and/or status changes. Similarly, loan requests, principally books or other physical items, cannot generally be ordered by off-campus students, and will be cancelled if they are in use in Vermont or if there is not sufficient time to ship them to New Mexico. You can update your personal information in ILLiad to reflect your current address abroad or on-campus. This helps us to verify ILL services and delivery methods.
For Continuing BL or DML Students not on Middlebury’s Vermont Campus
Students not currently on campus may use ILL for Article requests only. We also provide articles, from the Middlebury Library Collections to students studying around the world. Requested articles are all scanned and delivered to the ILLiad website, where a patron from anywhere in the world can access it by downloading or printing it (from Adobe Acrobat).
For ease of access to article databases off-campus, the Library has recently implemented EZ Proxy. Using this feature will allow you to access resources without changing your browser settings.

Other items to be aware of when ordering from ILL
- It is against our policy to request items for a patron more than once.
- The average cost of an ILL, including shipping, software, and staff, is roughly $30. It is for this reason we encourage responsible ILL-usage, and immediate use of all ILL materials.
- Items delivered to our web server only remain accessible for about a month before they expire and are automatically deleted from our system. You can, however, save the PDF file onto your own computer when viewing it through Adobe Acrobat from the web. Usually there is a small icon that looks like a floppy disk on the left side, right above the image of your article. Saving articles to your own hard-drive may prevent the loss important research when articles expire from our system.
- When you “Delete” a request on ILLiad, the file remains on our server for one week. This gives us the opportunity, for a short period of time, to restore an article deleted in error. If you do click on the “Delete TN: ###” button, by mistake before you have finished with an article, please contact the ILL Dept. as soon as possible to request restoration of your request.
- As an Alum, you are eligible to continue to use the Library and Middlebury Collections here on-campus, but we are not able to continue to provide Interlibrary loan services to you.
How to update your ILLiad Contact Information and Status
It is important that we always have valid contact information in order to be able to deliver your requests to you. To update your Information in ILLiad:
- Log on to ILLiad: http://ill.middlebury.edu/illiad/MDY/logon.html
- Select "Edit User Information" from the Tools Menu on the left.
- Change any information that is out of date or no longer accurate.
- Scroll down and click on "Submit Information" to save the changes.

Film Screening Policy
To ensure availability and quality, films that are scheduled to be screened by Media Services staff will be set aside after cleaning, repairing (if needed) and verifying availability. On the day of a scheduled screening, films may not be borrowed prior to the screening. Students may borrow films after a screening, or on any day prior to the day of the scheduled screening, and regular reserve loan guidelines apply.
This policy only applies to films that are listed in the daily screening schedule.

To submit photocopies for ERes
In order for the Library to comply with copyright guidelines and accurately place materials on reserve, please submit a completed ERes Copyright Clearance Form for each article/chapter requested for electronic reserve. Save the form directly to your computer, complete and print it. Attach clear, unstapled photocopies with accurate bibliographic information (or photocopied title page) and statement of copyright ownership. The quality of the original is vitally important. To email a PDF instead of submitting hard copies
Some photocopiers have the ability to create PDFs. Scan the materials and email the PDF to yourself. Forward the email to libres@middlebury.edu and include either the completed ERes Copyright Clearance Form or list the complete bibliographic information in the body of the email.
Remember: For articles we subscribe to electronically, email the citation, not the PDF.
To reactivate materials that were on ERes during a previous semester
There is no need to resubmit the photocopies; we will use the .pdf file previously created. Files are kept for a two year period. Please contact libres@middlebury.edu to reactivate your materials.
Forgot Your Course Password?
Materials suitable for electronic reserves
Due to copyright restrictions, some materials cannot be posted on electronic reserves. Published works in their entirety may not be placed on electronic reserves. Images cannot be processed at this time. Diagrams and simple sketches will be retained, but photos will be deleted. Words appearing in gray shaded areas will not reproduce electronically.
Materials that cannot be scanned for electronic reserve can be placed on traditional reserve. A request can be made to reference the hard copy reserve item on the ERes page.
Processing time for EReserve material
Electronic reserve materials are processed on a first-in, first-out basis. Please allow a one week lead time for materials to appear on your electronic reserve course page. You may request to have items posted sooner, but this will depend entirely on staff availability.
Submitting all ERes materials at once
If the entire semester readings are submitted at the beginning of the semester, please prioritize and identify the readings needed during the first four weeks.
Receiving coursepage password
When the first electronic reserve document request is submitted for a course during a particular semester, the ERes course page is created. The ERes manager will email you the password for the course. The Library requires that all passwords follow the consistent algorithm for the semester.
Permission to manage own ERes page
Contact libres@middlebury.edu to set up an ERes account. We will create your ERes pages (or restore previously used coursepages), and show you the management functions of ERes. Administrative privileges allow you to restore your old documents to current pages, add new documents and links, and create folders to organize your pages. You will also have the ability to view statistics to see how frequently specific items are being accessed within Docutek ERes.

The Library has entered into agreement with the Copyright Clearance Center (CCC). Our license allows faculty, students and staff to share content across campus without the need to secure individual copyright permission from the CCC for participating publishers. Media Reserve
Placing media items on reserve
Go to MIDCAT, search for items you would like on Reserve, click the small box to the left of each item, then click the "Save Marked Records" button on the top-left of the page. The items will collect in your "shopping cart." When you've made all of your selections, click the "View Saved" button on the top of the page, and then click the "Export Saved" button to export the saved records to your own email account (be sure to accept the default "full display"). Forward the exported records to Library Reserve with course number and loan period. Be sure to export to your email and then forward the message to the library; otherwise, a list is generated with no course or faculty information attached.
Film Screening Policy
New screening policies as of 1/19/10
Films are listed in the daily film screening schedule only when a faculty member places the item on Reserve and then books it for the day and time the item will be screened. How to book media items for screenings
To ensure availability and quality, films that are scheduled to be screened will be set aside after cleaning, repairing (if needed) and verifying availability. On the day of a scheduled screening, films may not be borrowed prior to the screening. Students may borrow films after a screening, or on any day prior to the day of the scheduled screening, and regular reserve loan guidelines apply.
The Course Scheduling Office (ext. 5069) can help you arrange for a suitable screening room. Plan to coordinate with that office for an appropriate teaching space if your audio-visual requirements for a semester are substantial.
Films and videos from sources outside the College may be booked via Middlebury's film rental form. After you have scheduled a room for your showing, and have financing approval, fill out the form and submit it. Place your orders as far in advance as possible -- a lead time of at least two weeks is recommended.
If you need an orientation to the projection equipment in the classroom, you may contact helpdesk@middlebury.edu to arrange it.
Library Video and Public Performance Rights
Most of the videos and DVDs in the new library do not include public performance rights.
These rights are needed if you plan to show a film for your club or student organization, or the screening is open to the public. This includes an instructor showing a video as part of the curriculum, but inviting people who are not enrolled in the class to attend. It also includes small groups who want to view a movie for entertainment in a public space.
Public performance rights are not needed for classroom-related screenings or private screenings in your room with a group of friends. If you need to obtain public performance licensing for an event, please contact the Center for Campus Activities and Leadership (CCAL) in McCullough Hall, (ext. 3103).
Some videos in the library do include public performance rights. Please contact Sue Driscoll (sdriscol@middlebury.edu) for further information.
Loan period of media reserves
Videos, laser discs and DVDs circulate for 4 hours within the Library.
Faculty borrowers may override this loan period for items on reserve for their course. If a media item is on reserve for more than one course, circulation is limited to 4 hours.

Booking Equipment
All equipment at the Library (LCD projectors, camcorders, microphones, etc.) can be booked in advance by students, faculty, and staff. To book equipment, or adjust or cancel a booking, please contact the Main Library Circulation Desk at 443-5494 or email library_circulation@middlebury.edu.
Booked equipment must be picked up on the first day of the booking. The booking will be canceled the following day if it is not picked up, and the equipment made available to other borrowers.
Booked equipment must be picked up and checked out by the person for whom it is booked. A College ID is required. Please return equipment to the location from which it was checked out. For example, equipment that lives at the Main Library cannot be returned at Armstrong Library.

Laptops
Laptops for Students
Borrowing
Dell and Apple iBook laptops are available for four-hour, in-house-use at the Main and Armstrong Libraries. They cannot be reserved and are available on a first-come, first-serve basis. All borrowers must read and sign the Loaner Equipment User Agreement before borrowing. Laptops may not be taken out of the building for any reason, or kept in carrels or lockers.
Fines/Charges
A replacement fee of $2,000 will be assessed to a borrower's College bill if a laptop is damaged, lost, stolen, or very overdue. The replacement fee for power adapters is $100.
Security
We strongly urge all library patrons to invest in a laptop cable to secure your laptop to your carrel. Laptop cables are sold at the Bookstore, and the Circulation Desk has a few available for short-term loan. Laptops should never be left unattended.
Connectivity
Wireless is available throughout the Main Library and Armstrong Library. Ethernet cables are available for purchase at the Bookstore.
Laptops for Faculty and Staff
Borrowing
Dell and Macbook laptops are available at the Main and Armstrong Libraries for faculty and staff to borrow. The standard loan period is two weeks. Please call x5494 or email the Circulation Desk to check availability and make a reservation. All borrowers must read and sign the Loaner Equipment User Agreement before borrowing.
Please note that all personal data and files will be deleted from laptops upon return and will not be recoverable. Please uninstall any software and delete all personal files before returning the laptop.
Dell laptops
The Dell laptop case includes a laptop, mouse, AC power adapter, power adapter cable, ethernet cable, and instruction sheet.
Faculty and Staff can log onto the faculty/staff loaner laptops with their username and password provided they have logged onto that computer as themselves at least once while connected to the campus network. Also, the laptops do have a local account that can be used, and instructions for logging in to that account are included with each loaner. Helpdesk can assist in cases when neither of the above options work.
Macbook laptops
The Macbook laptop case includes a laptop, mouse, power cord/AC power adapter, VGA (video) adapter, ethernet cable, and instruction sheet
Faculty and staff need to (at least once) connect the laptop on-campus with an ethernet cable and login with their own College username and password. If they login to the loaner with their own credentials at least once, then they can continue logging in with their own credentials with or without a network connection, both on campus and off campus. An Ethernet cable and power supply are set up at the Circulation Desk to facilitate this step. If you plan to use the laptop off campus, simply plug it in at the time of check out, then log in, and go!
If this doesn't work, they should contact the Helpdesk before they leave campus. A generic account is available for use, but recommend against using it.
Camcorders
Camcorders are available for a one-day loan and can be reserved in advance through the Circulation Desk.
Tripods are also available for a one-day loan and can be reserved in advance through the Circulation Desk.
Flash HD Camcorders include a battery pack, power adapter, and USB cable. Video is recorded onto the camera's built-in memory, or your personal memory card (not included with the camera). No cassette tape needed!
Quick Tips
A firewire cable is not needed to connect the camera to a computer (a USB cable is provided for this purpose). The USB setting may need to be adjusted to either "PC/Printer" or "Connect/Set."
No software installation CD is required to download data from the camera.

iPods

Audio and recording equipment
The Library has a variety of equipment available for audio and recording projects.
Digital Voice Recorders: Small and portable, these can be used to record a lecture, meeting, or interview; then simply plug it into a USB port on a computer to download or upload files. They have a seven-day loan period.

USB Microphones: Microphone on small stand with USB connection; great for anyone who needs to record audio. They can be borrowed for a one-day loan.
iPods with iTalk microphone: iTalks plug directly into an iPod (either a 30G from the Library, or a personal iPod) and are used for audio and voice recording. The loan period is seven days.
Headsets with microphones: Another option for voice recording, with a four-hour loan period.
Computer speakers: Plug into a PC, laptop, or iPod
Cassette recorders (hand-held and desktop): Yes, these still exist!

- Library materials must be checked out at the Circulation Desks before storing in a locker or carrel

Thesis Carrels
- Seniors may reserve a thesis carrel if currently enrolled in a 500, 600 or 700 level thesis/project.
- Eligible seniors may sign up for an available carrel beginning at noon on the Monday following the first week of classes of any semester on a first-come, first-served basis
- Sign-up will continue as long as carrels are available

Proxy Borrower Information
Proxy Borrowers are students, staff or TA's designated by Faculty members that may check out library materials on behalf of that faculty member. Faculty members who use Proxy Borrowers should follow these guidelines:
- The Faculty member is responsible for all items checked out by the Proxy Borrower.
- All materials checked out on a Proxy Borrower Card are subject to recall. Recalls are the responsibility of the Faculty member.
- It is the responsibility of the Faculty member to know when all Library materials are due back. Books checked out on this account must be returned or rechecked to the Faculty member's regular account by the end of the proxy term.
- It is the responsibility of the Faculty member to return all Library materials by the date due.
- ILL requests must be made with the Faculty member's ILLIAD account, or through a single Proxy ILLIAD account in the faculty's name. Please follow the instructions for creating a proxy ILLIAD account. Items ordered on student ILL accounts may not be checked out with Proxy Borrowing Cards.
- Please note that your personal account information on My Midcat will not show items checked out on the proxy card.
- Proxy account information may be viewed on the web using the barcode ID number on the proxy card.
Spouse/Partner of College Employee
- Spouses or domestic partners of benefits-eligible employees are eligible to receive a Spouse/Partner card at Public Safety.
Dependent of College Employee
- Dependents of benefits-eligible academic year employees are eligible to receive a library card

- Faculty complete a form (link to form listed above and on VCAL site) and are issued a VCAL card at the home institution
- All candidates for reciprocal borrowing privileges must present a valid institutional ID from their home library, a VCAL card with a valid expiration date sticker and optionally a completed ‘Vermont Consortium of Academic Libraries, Faculty Reciprocal Borrowing Authorization" form issued by their home library; the VCAL form shall have an authorized signature from the home library
- Reciprocal borrowing is limited to a maximum of 10 books from the general circulating collections
- Borrowing guidelines are determined by the lending institution; faculty must adhere to policies of the lending institution
- Materials are subject to recall by the lending institution
- The home library of the borrower shall be ultimately held responsible for the payment of lost or unreturned item fees, as determined by the lending library
- The expectation is that borrowers will return materials to the lending library; libraries will return materials via interlibrary loan as needed (eg if materials are returned to the borrower's home library in error)
- Stats will be gathered annually: number of cards activated (Midd faculty); number of circs (by VCAL visiting faculty); number of external users (number of VCAL visiting faculty)
- Home institution will be recorded in the note field of the borrower account

Guest Borrower Responsibilities
Middlebury College maintains its Libraries for the use of Students, Faculty, and Staff in support of the instructional goals of the College. Others are welcome to visit and use the resources available within the Library. Library use is a privilege extended to those who observe the regulations and procedures established to make materials accessible to all. The loan of library materials is limited to authorized borrowers.
Guest borrowers, like members of the College community, are pledged to the ethical use of library materials. As a guest borrower you assume full responsibility for the physical condition of all materials checked out on your card. You are responsible for knowing the due dates and for the timely return of materials.
Your library card must be presented in order to borrow materials. Guest borrowers may have up to twenty-five items charged out at any time. VCAL borrowers may have up to 10 items checked out at any time.
Fines: All Guest Borrowers at Middlebury College Libraries are responsible for overdue fines and for replacement charges for lost materials. Outstanding fines will block borrowing privileges. Questions regarding fines or bills must be brought to the attention of the Circulation Services Manager. Guest borrowers are liable for overdue charges of $ .20 per day. A fixed overdue charge of $25 will be added to the replacement cost of lost or damaged library materials.
Recalls: Guest borrowers must return a book immediately when it is recalled. Overdue recalls are subject to fines and borrowing privileges are blocked. LIS is not able to provide recall or hold services for guest borrowers.
Other Services: Guest borrowers should be clearly aware that members of the College community always have priority in the use of services including, but not limited to: research and reference services, on-line catalog, photocopiers, microfilm readers/printers, A/V equipment, computers, study carrels and rooms. Database searching is available at the discretion of the Reference Department. Due to licensing agreements and contract restrictions some resources are not available to guest borrowers.
Restrictions: LIS is not able to extend borrowing of media equipment, media collection materials, licensed software, or Inter-library Loan materials to guest borrowers.
