Sound & Video Discs That Accompany Books

CD-ROMs & DVD-ROMs

Bibliographic record:

  • Add 006, 007
  • Check 300 field:
    • if item is in separate container so that it will be shelved separately, the field should include: $e 1 CD-ROM (4 � in.) or $e 1 DVD-ROM (4 � in) [Note: Recent AACR2 change allows use of "conventional terminology" for electronic resources. This does NOT include CD's and DVD's. See examples below.]
    • If item is in pocket, add 500 note with wording similar to Includes CD-ROM in pocket.
  • Check 538 field for wording like: System requirements for accompanying CD-ROM [or DVD-ROM]: ...

Audio CDs

  • Add 856
    • Choose appropriate indicators
      • 40 Resource described by bib record
      • 41 Version of resource described
      • 42 Related resource (like TOC, abstract, etc.)
    • Add $u with URL
    • Add $3 online resource [vol./years]
  • If title is part of a database set, like Project Muse or JSTOR, we sometimes add a 730 or a 440.
  • Check the Type code in the fixed fields to make sure it is a
  • Create an item record without a barcode number and then add the following information:
    • location: mep (electronic journal)
    • material code: 53 (electronic journal)
    • call no.: use LC call number with suffix e (for electronic journals)
    • enumeration: fill in appropriate volumes or year

Electronic books

Bib record differs slightly depending on whether the book is 'born digital' or is an exact reproduction of the print (maintains pagination, etc.)

Bibliographic record:

  • Type of record: a (language material, i.e., monograph) If using OCLC record that codes as type m, change to a in Millennium leader field
  • Fixed field dates & country (reproductions) code for original print
  • 008 field File Type: s electronic
  • Add [/academics/lis/lib/library_info/library/departments/collection_management_division/catalog_department/formats/electronic_resources/docs_local/006_007_elec_resources.htm 006 & 007 ]
  • 020: ISBN of electronic version
  • 260 (reproductions): code for original print
  • 530 (if applicable): Also available in print.
  • 533 (if applicable, i.e., electronic book is an exact reproduction of print). Example from Netlibrary record below:
    • $a Electronic reproduction. $b Boulder, Colo. :$c Netlibrary, $d 2000. $n Available via World Wide Web. $n Access may be limited to subscribers. $n System requirements: Adobe Acrobat reader.
  • 710 (if applicable): Corporate author for electronic vendor
    • $aNetLibrary, Inc.
  • 776 (reproduction): optional, allows info/access about original print ed. with ISBN and OCLC number
    • $c Original $z0664256716 $w (OCoLC) 41086743
  • Check indicators of 856 to meet current guidelines (see above, or check OCLC's 856 guidelines )
    • 40 = Resource described
    • 41 = Version of resource
    • 42 = Related resource
  • Verify that the URL is in $u field, not $a
  • Add $3 online resource (Millennium already adds 'Connect to'
  • If 856 links to significant resource, create an item record without a barcode and with add the following information:
    • location: meb (electronic book); mer (electronic resource)
    • material code: 51 (electronic book); 54 (electronic reference)
    • call no.: add suffix eb for electronic books



Print monographs with 856 for electronic version or related resource

Bibliographic record:

  • Type of record: a (language material, i.e., monograph)
  • Add [/academics/lis/lib/library_info/library/departments/collection_management_division/catalog_department/formats/electronic_resources/docs_local/006_007_elec_resources.htm 006 & 007 ]only if the 856 links to resource being described or a portion of it. For example:
    • Electronic version of resource
    • Supplement
  • Do not add 006 or 007 if the 856 links to related resources not being described by the bib record. For example:
    • Table of contents
    • Publisher's web page
  • Check indicators of 856 to meet current guidelines (see above, or check OCLC's 856 guidelines )
    • 40 = Resource described
    • 41 = Version of resource
    • 42 = Related resource
  • Check that URL is in $u field, not $a
  • Add $3 online resource or $3 online version or $3 related resource (Millennium automatically inserts 'Connect to')
  • If 856 links to significant resource, create an item record without a barcode and with add the following information:
    • location: meb (electronic book); mer (electronic resource)
    • material code: 51 (electronic book); 54 (electronic reference)

  • Catalog as for electronic books
  • Fixed field: Form = s
