This page is a collection of internal tools and resources for music cataloging at Middlebury. Please note, this is by no means an exhaustive (or authoritative) account of music cataloging practices at Middlebury.

Post-cataloging CD instructions
Set CDs as in process using the macros:
- Alt + F8 for all CDs (change location to mudco for oversize CDs).
- CDs should then be placed in 133 on the blue cart next to Marlena's desk.
- If a CD is Lib Use Only, insert a Purple Lib Use Only flag.

Operas
- Opera films=Broader type (Usually a movie version of an opera without any actual audience, or a biographical film about an opera singer with excerpts from performances. Should still use Operas as 650, may use Operas as 655)
- Filmed operas=Narrower type (Usually an opera filmed on a stage with an audience. Don't use Opera films if using filmed operas. Should still use Operas as 650, may use Operas as 655)
Note: the distinction between [Genre] films and Filmed [Genre] seems to center on whether the performance is 'recorded live' or is a 'cinematic version'

- Opera [Dance, Ballet, Musical] television programs
- Televised operas[Dance, Ballet, Musicals]
Dance
- Dance films is broader (e.g. Movies with significant dance sequences (Singin in the rain), OR Biographical films on dancers or choreographers with smaller segments of dance)
- Filmed dance is a dance film but a narrower type. Do not include dance films if using filmed dance (e.g. Modern dance performances USUALLY ON STAGES, OR Complete dances or large segments of performances AND documentary content)

Classing & cutters local practices
- Musicals: If it was first on Broadway, then made into a movie, use M1500; musicals originally made for a movie release go into 1527
- Danced ballets: GV1790 1st cutter: u.t. of ballet, 2nd cutter: choreographer name
- Concert ballets: M1527
Famous conductor DVD guidelines:
- If the video is about conducting one specific work (e.g. In rehearsal, Mariss Jansons Béla Bartók : Suite from "The miraculous mandarin"), class the video appropriate to the work (M1524 in this case). It might occasionally be in MT if the discussion is very technical/analytical in nature. Do this even if the conductor is given prominence as in the example title above.
- If the video has the conductor conducting multiple works (>1) (e.g. In rehearsal, Zubin Mehta), class with the conductor's biography (ML422).
- If the video is a "how to conduct" video, class in MT85.

Post-cataloging score instructions
- For ALL scores, add a barcode to the item record, and paper-clipped to the bindery slip (do not separate barcode from paper backing).
- Bridgeport Bindery scores: change to status "b out at bindery" using macro Alt + F3 Bridgeport. Add Purple Lib Use Only slip for Lib Use Only scores sent to Bridgeport.
- Pamphlet binding scores to status "p In process" and location mma stacks using macro Alt + F2 pam-bound score. Library use only scores change to status "o Library Use only" and location mma stacks. Add Purple Lib Use Only slip.
- Add any notes to count parts as needed.
- Physical processing notes for ALL scores: Indicate in a note on the blue binding slip any necessary special physical treatment or instructions for handling unique items. only use the blue bindery slips to communicate physical treatment instructions--other instructions should be communicated using the hold slips or in rare cases, a post-it note.
For ALL scores, add the cataloger's mark as it should appear on the spine label.
For ALL scores, add a green slip indicating prefixes if required (e.g. Large scores).
Where to, next?:
- Scores requiring no physical treatment go on “Items ready for processing” carts near Marlena’s desk in LIB133
- Scores that need some sort of physical treatment (In-house or Bindery) should have (at minimum) a blue bindery slip and barcode (paper-clipped) and be placed on the old oak cart in Ginny’s workroom, LIB134.
- Item status will be changed to available at Circ. check-in.

Withdrawing titles; Deleting OCLC holdings
Don't delete OCLC holdings for withdrawn multiple copies.
- When desensitizing and stamping/marking items withdrawn, scan items in copy use
- Tally withdrawn titles below--items and titles
- Holdings for items counted in copy use can now be deleted in a batch from OCLC
- Create a list for copy use items >/= 1
- Send as email a listing of the 001s from this list
- Note records that do not have 001s and delete manually from OCLC
- Get rid of periods in the rest of the 001s
- Open Connexion and select Batch from the menu
- Click Holdings by OCLC Number
- Copy and paste the 001s from the list
- Select Delete Holdings and OK
- Back in Millennium Cataloging, click the Delete Records button
- Select the correct list!
- Delete all attached records
- For individual/one-off withdrawn titles, copy the OCLC number from the bib record and manually delete holdings in OCLC, and record the deletion in the chart below
