1. Add event to iModules - (follow encompass.. building connections, Master How-To Document, and refference the various settings below), click on "Add to Outlook" and download file to desktop. 2. Add event to Outlook - Drag and drop file from desktop to Alumni Outlook calendar, and description time location contact info. and all will auto fill. 2. Go to Google Calendar (alumni@go.miis.edu)sign in and a)click add (left side under add a friends calendar). b)click Import Calendar c)click browse d)choose the calendar file you saved to the desktop e) click Import, and description time location contact info. and all will auto fill. Reminder: This will also feed to all other Institute Calendar feeds.

Need to expand on the various settings for events

Note: In the Toggle Advanced Mode, set up event to include Attendees List, Message Board and Photo Album (click each under Features heading).

Kickbacks: what is the procedure? ie current email is different from email kick back ??? When do we inactivate the email in Banner. Soft codes Hard codes?

Rolls are good when peeps say they want or do not want a type of email. B day cards etc.

The site is now set up with a dropdown menue on the event page labeled "Display Filter:, this allows the viewer to select either "Active" or Archive.

Set up listings to list / Calendar on both "Event Homepage Listing" and "Event Listing", and then when the event has past you can edit it to only display the listing on the "Event Listing" not the "Event Homepage Listing".

To do this go back into the event and click on "Content Properties" (pencil icon) and Event Listing / Calendar: Event Homepage Listing Event Listing Test ..............

To request that an event be posted to the Alumni Site, Staff and Faculty should first fill out the "Event Posting Application for MIIS Faculty/Staff". (http://miis.imodules.com/eventpostapplication). This is a form designed to allow applicant to fill in event date, time, description etc. in a text box, and allow administrator to copy and past data when creating an event. Upon completion of the application, an email confirmation outlining what was filled in will be sent to the Administrator and the Applicant. This would be a good time to review everything before the event is created.

This form can be modified to include event registration, Audience (everyone, logged in, roll) and other features that are available when setting up an event. Note: because some of the features need to be managed in some way, we may want to limit this to listing only at this point.

Need to review with Leah and create this form for students, faculty and staff to fill out when requesting to connect with alumni that are not participating in the imodules site. Need to resolve when we use hyperion and when we use the query feature in iModules. http://miis.imodules.com/alumniquery

Examples and suggestions for event Rosters/RSVP List based on type of reception.

When compliling a list for an event, the type of event should be taken into account to determin what info you will want in each column. ie: 1. Staff is heading up an informal networking reception in Japan, and the list might have only Names, emails, Degree info. and Mailing Address. The staff person would be instructed to collect business cards for updated contact info. and not be burdened down with admin type stuff. 2. A more formal seminar type of event where in the participant will be checking in and attending a seminar for a few hours. Thay may pass the check in table many times at each break, giving an oportunity to interact and obtain more spacific detailed info. We can provide individual sheets (iMod merge type FORM) that indicate what we currently have file and allow them to make updates. The Roster/RSVP List would have many more columns of info. to allow the registrar to peak down and converse with participant with the intention to confirm and obtain updated data.
