Using the Portable Video Conferencing Unit in the Library

LIS Portable Polycom

This unit can be used in any of the 150 small study rooms downstairs in the Library. 

Setting up

Plug in the power cord and the CAT 5 cable (internet cable).  Make sure to plug the internet cable into the jack that is labelled Polycom Only!  If it is not plugged into this jack you will not be able get an outside connection.

Turn on the monitor.  

Use Polycom remote to turn on the Polycom unit.  This might tack 1-2 minutes.  When it is on and all set up the camera should swing around facing front.  On the monitor screen you will see the room with a box that is the Main Menu.  From here you can type in a new I.P. address using the Polycom remote or you can choose Address Book or recent calls to choose to connect to one of the I.P. address's available.

Using the Directory and Recent Contacts List

If you are contacting someone that we have connected with before, for example, MIIS, we have several IP Addresses saved in the address book or you can go to the Recent Contact list. after you have turned the system on you will be on the home page. This is where you can type in an IP Address (instructions below) or you can use the arrows on the remote to navigate on the screen to the Directory or Recent Contacts buttons. When the choice you want is highlighted in yellow, press the select button. A list of all our contacts are listed in the directory and the about 30 of the most recent calls in the Recent Contacts list. Use the up and down arrows on the remote to find the contact you are looking for. When it is highlighted, press the green phone button to initiate the call. A small circle will appear in the lower left corner of the screen, it will fill 1/4 to 3/3s with blue while ringing, when it connects the dot will turn green.  It should connect almost immediately.  If it does not connect after about 5 rings then 1 of 3 things could be wrong, the I.P. address is not correct, the other end has not turned on their videoconferencing unit, or the internet connection is having problems. Call the Helpdesk at x2200 if this is the case. 

Typing the I.P. Address

Use the number keys on the Polycom remote to type the I.P. address.  To get the . use the -> key.  The unit will say what number and when you have a dot.

After you have dialed the I.P. you can press the green phone button, this will initiate the call. A small circle will appear in the lower left corner of the screen, it will fill 1/4 to 3/3s with blue while ringing, when it connects the dot will turn green.  It should connect almost immediately.  If it does not connect after about 5 rings then 1 of 3 things could be wrong, the I.P. address is not correct, the other end has not turned on their videoconferencing unit, or the internet connection is having problems. Call the Helpdesk at x2200 if this is the case. 

When you are finished, you can turn off the Polycom unit using the remote as well as the monitor.  A Media Services Tech will come take care of the unit.
